Church Overview

Bethany Lutheran Church (LCMS) was formed in 1962 and has worshiped at its Griffin Road campus since 1964. At Bethany Lutheran Church, every person matters—to God and to us. Position Purpose

The Church Administrative Assistant provides comprehensive administrative support to the Pastoral staff and serves as the primary coordinator of the church office. This position supports the Church Council, boards, committees, staff, volunteers, and congregation by ensuring that church operations, communications, records, and administrative functions are conducted efficiently, accurately, and professionally in support of the ministry of Bethany Lutheran Church.

Primary Responsibilities

Office Administration

  • Manage the daily operations of the church office.
  • Open and close facilities as scheduled.
  • Receive, distribute, and process correspondence and supplies.
  • Answer telephones, greet visitors, and process mail.
  • Maintain office equipment, supplies, and workroom.

Executive Support

  • Manage the Pastoral staff 's calendar and schedule meetings, appointments, and speaking engagements.
  • Provide administrative support to the Pastoral staff, Church Council, the Elders, staff, and volunteers.
  • Coordinate use of the master church calendar.

Worship Support

  • Produce weekly and special-service bulletins, inserts, and announcement slides.
  • Proofread all worship materials.
  • Coordinate worship volunteer schedules with the Pastoral staff, and Board of Elders.
  • In conjunction with the director of Music, maintain copyright reporting for broadcast worship materials.
  • Maintain pews with pencils, welcome cards, giving envelopes and other supplies as needed.

Communications

  • Manage church communications.
  • Coordinate the weekly News and Notes newsletter with the Publicity Chairperson.
  • Coordinate congregation-wide mailings.
  • Maintain document and communication standards.
  • Manage and maintain social media platforms.

Records Management

  • Maintain accurate Church360° Members records.
  • Maintain attendance and communion records.
  • Prepare required LCMS statistical reports.
  • Maintain permanent electronic church records.
  • Maintain employee and volunteer records.
  • Assist with annual and semiannual congregational reports.

Financial and Administrative Support

  • Assist the Treasurer with Church360° Ledger data entry.
  • Process invoices and deliveries.
  • Serve as purchasing agent for approved office and ministry supplies.
  • Coordinate office volunteers.
  • Notify Trustees of maintenance needs.

Skills and Qualifications

  • High school diploma required; post-secondary education preferred.
  • Administrative experience preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • Working knowledge of bookkeeping principles.
  • Proficiency with Microsoft Office.
  • Ability to learn and use Church360°, Lutheran Service Builder, Zoom, and website software.
  • Ability to perform routine office tasks, including lifting office supplies when necessary.

Reporting Relationship

  • Directly reports to the Senior Pastor. In the Pastor's absence, the position reports to the Assistant Pastor, then the Church Council President or their designee. Performance evaluations will be conducted in accordance with Bethany Lutheran Church Employee Handbook.

Special Considerations

The employee shall support the mission of Bethany Lutheran Church and be willing to make a Christian statement of faith consistent with the doctrine and practice of The Lutheran Church—Missouri Synod.

Employment Status and Benefits

  • Hourly, part-time position averaging 20 hours per week.
  • Salary starting at $20.00 per hour and commensurate with qualifications.
  • Additional hours require prior approval from the Senior Pastor, Assistant Pastor, then the Church Council President or their designee. 
  • Benefits, vacation and paid holidays are in accordance with Bethany Lutheran Church Employee Handbook.
  • No health or retirement benefits.
